Job Duties include but are not limited to:

  • Updates and maintains manual and electronic files, reference materials, databases and directories.
  • Acts as a primary point-of-contact for both internal and external parties on all matters pertaining to the office.
  • Coordinates with the building manager to plan all physical office moves and set up of new offices.
  • Ensure process manual at reception is audited on an annual basis and is kept up to date.
  • Managing the key database for the buildings and clinics.
  • Oversee parking let fleet vehicles.
  • Leads and manages the front reception staff and the Medical Transportation Program and staff ensuring the quality and effective delivery of the program as set up by NIHB

Qualifications, Additional Skills, and Abilities:

  • College diploma/certificate in Office Administration or university degree in Business Administration or equivalent combination of experience and education.
  • Four years of experience in a senior administrative role, with experience supervising others and in office management
  • Abilities and behaviours associated with the core competencies with an emphasis upon planning and organizing, analytical and problem solving, interpersonal, collaboration and teamwork, and leadership and learning.
  • Demonstrates ability to handle highly sensitive information and documents exercising confidentiality, discretion, good judgement, and exercising tact, courtesy, and diplomacy at all times.
  • May require spending long hours sitting and using office equipment (i.e., computers)
  • Occasional overtime and travel out of the office will be required
  • Some stress associated with managing multiple projects/events and working in a fast pace and ever-changing environment and dealing with highly sensitive situations..
  • A successful criminal record check and a valid driver’s license
